Meet OLIVIA, the AI Catering Sales specialist who helps every promising event inquiry receive attention. While your team prepares food, serves guests, or manages an event, OLIVIA can introduce your catering services, discover what the customer is planning, and gather the details your sales team needs to continue the opportunity.
Teach OLIVIA how your catering business wins
OLIVIA’s success grows from the knowledge you place in her memory: your menus, service styles, event types, guest ranges, delivery areas, policies, brand personality, and the questions your best salesperson would ask. The more accurately she understands your business, the better she can help customers recognize the right possibilities.
You decide how OLIVIA presents your company, what information she gathers, which opportunities she prioritizes, and when she introduces your team. She becomes a sales presence shaped around the experience you want customers to have.
Turn more inquiries into prepared sales conversations
A catering lead can arrive while everyone is occupied. OLIVIA keeps that opportunity from receiving a rushed or delayed introduction. By helping customers describe the occasion, timing, location, guest count, and preferences, she allows your people to begin the next conversation with context—and spend more time creating the proposal that can win the event.
A catering inquiry is more than a request for a menu. Behind it may be a company lunch, a wedding celebration, a family milestone, or an event organizer trying to coordinate several moving parts. Before your team can prepare a meaningful proposal, it needs to understand the occasion, timing, guest numbers, location, and style of service. Forge Lumina AI Catering Sales helps give that first conversation direction while your people are occupied with food preparation, delivery, or the event already underway.
Customers often begin with a broad question because they do not yet know which details matter. A guided introduction can help them understand your offerings and describe what they are planning. For your business, the opportunity is to receive a more useful event brief and spend the next conversation discussing the customer’s priorities. The assistant supports the preparation for a sale; your catering team brings the judgment needed to shape the proposal, confirm the logistics, and agree the final arrangements.
Catering inquiries often begin with a simple question but require several details before a meaningful proposal is possible. An event date, guest count, location, and preferred service style can change the entire conversation. This assistant helps explain your approved offerings and collect that initial brief in a friendly, organized way. Your catering team can then assess the request and discuss the practical details with the customer. Explain catering options and develop a useful event brief
The agreed configuration can support the following tasks: describe approved catering menus, service styles, event types, and service areas; answer routine questions about your inquiry process, published minimums, and lead times; ask for the event date, estimated guest count, venue or location, and preferred food or service style; collect a budget range and contact details where these are part of your agreed inquiry process; guide the customer toward a consultation or quotation request for your team to review.
A corporate lunch, a wedding reception, and a private celebration require different conversations. Your assistant can be configured to ask questions relevant to the event types you actually serve. For an office meal, delivery location and serving time may be central. For a larger celebration, service style and guest numbers may deserve more attention. The purpose is to understand the request before your team invests time in a proposal. The assistant should not imply that your company serves every event type or offers services such as staffing, rentals, or venue coordination unless those offerings are part of your approved information.
A customer may not understand the difference between your available catering formats. They might be comparing a delivery-only menu with a staffed service or wondering whether a published package can accommodate their event. Your own descriptions can be used to explain what each option generally involves and which details still need a conversation with your team. This helps people ask more useful questions and gives them a better starting point for planning. A published starting price should be described as such; it should not be turned into a final event total without the pricing rules and confirmed workflow required to calculate one.
What this could look like in your business
An office manager is planning a lunch for 45 people. The assistant explains the catering formats listed in your business information, asks for the date and delivery location, and collects the manager’s contact details and preferences. Your team receives a more complete starting point for discussing a suitable menu and preparing a quote.
Picture a business planning a staff celebration for 70 people. The organizer knows the date and approximate budget but is still deciding between delivery and staffed service. An assistant configured around your offerings can explain those formats, ask for the location and serving time, and collect the agreed preferences and contact details. Your team can then assess whether the event fits its operation and discuss a suitable proposal. If the venue has limited preparation space or the customer needs a special arrangement, those questions move to the people who can evaluate them. The inquiry becomes a starting brief for an informed conversation rather than an unsupported promise of availability.
An event opportunity can involve several exchanges before the commercial discussion begins. The value of a more complete brief is that it helps your team identify the right questions earlier. Assess whether inquiries include the planning details you need and whether customers understand the next step. The assistant should help people approach your service with confidence while preserving the personal conversation that makes catering an individual, considered purchase.
Give your sales team room to focus on the event
A well-designed inquiry can bring together the customer’s event date, location, approximate guest count, service interest, and preferred way to be contacted. If relevant to your process, it can also ask whether the customer has a venue selected or wants to discuss a particular menu. These details help staff decide what to clarify next. The inquiry should remain focused on planning information rather than becoming an unnecessarily long interview. Changes to the event, special requests, and commercial commitments still need the review your business normally requires before preparing a final proposal or accepting a booking.
Catering is a personal purchase, and an initial conversation should help the customer feel understood. The assistant can explain how your inquiry process works and what information your team will need next. Your staff then bring the experience required to discuss timing, presentation, staffing, transport, and the practical demands of the venue. For example, a request for an outdoor reception may raise questions that cannot be resolved from a standard menu. The assistant’s role is to prepare that conversation, not to make logistical promises. Your team remains responsible for confirming the event arrangements and the final offer.
The product is designed to reduce the back-and-forth needed to establish the basics of an event. It can help a potential customer feel guided during the research stage while allowing your sales staff to focus on menu decisions, logistics, and personal service. A completed inquiry is an opportunity for follow-up, not a confirmed catering order.
Implementation and integration around your business
Prepare your current catering menus, service formats, locations covered, published minimums, and lead-time guidance. Decide which event details your team needs before responding and which person receives each type of inquiry. Include the wording you use for starting prices so customers understand when a tailored proposal is still required.
Implementation and integration take between 3 days and 1 week, depending on the complexity of your solution. This timeframe begins once we have the information, access, and approvals needed to carry out the agreed work.
During implementation, we organize the approved information and agree how the assistant should handle the relevant customer questions. We review representative examples with your business, including requests that need staff attention. If a connected workflow is part of the agreed service, its required access, permitted actions, and completion messages need to be checked before customers use it. This gives your team a practical opportunity to confirm that the experience reflects the way you operate.
Clear scope and a practical route to your team
Final pricing, availability, delivery arrangements, contracts, and acceptance of an event remain subject to your team’s confirmation unless a specific connected workflow has been agreed. Dietary preferences can be recorded for discussion, but allergy suitability and cross-contact questions require confirmation from your catering team. The assistant must not guarantee that food is safe for a particular allergy.
The configuration is tailored to the business information and workflows agreed for your service. Before activation, the written scope should identify the selected channel, supported functions, included call minutes if voice call answering is part of the agreed service, support arrangements, and any required connections. Telephone answering and other channels are not automatically included. Information-based assistance does not itself provide access to live calendars, private records, or transaction systems.
Your business supplies and approves the information used to represent it. Questions outside that information need a clear route to your staff. AI responses can be mistaken, so review representative conversations and keep the underlying business information current.
