AI Solutions
What does Forge Lumina offer?
Forge Lumina provides business-focused AI solutions and WordPress plugins designed to support practical day-to-day workflows.
Can I see the AI solutions before choosing one?
Yes. Our Demos page provides access to demonstrations of our available AI solutions so you can review how they are intended to work before making a decision.
Will every AI work exactly the same for every business?
No. Business requirements, workflows, and integrations differ. We confirm the appropriate setup and any required integrations before activation.
AI Setup, Chat and Phone Allowances
How long does setup take?
Standard setup is estimated at approximately 3–5 business days. More complex setup is estimated at approximately 10–15 business days.
Business days are Monday through Friday, excluding U.S. federal holidays. Weekend setup work is not included or promised.
These are estimated setup windows, not guaranteed activation deadlines. Timing depends on the agreed scope, required integrations, the quality of information provided, access availability, testing needs, and customer cooperation.
When does the setup estimate begin?
The setup estimate begins after Forge Lumina receives all required business information, access, and approvals needed for the selected AI service.
What happens if setup takes longer?
If additional time is needed, Forge Lumina will explain the reason and provide an updated estimate. Possible reasons include missing information, delayed approvals, third-party access issues, integration complexity, testing requirements, or changes to the agreed scope.
What does the customer need to provide?
Customers must provide accurate and current business information for the AI to use. This may include services, prices, hours, locations, policies, menus, product details, appointment rules, service areas, contact details, FAQs, and examples of common customer questions.
Customers are also responsible for confirming what the AI may answer, what it must not promise, and when it should refer a customer to a human.
Can Forge Lumina AI connect to my business software?
Some integrations may be possible depending on the software, available permissions, technical compatibility, and the agreed scope.
The AI can only complete actions in another system when the required connection, access, rules, and testing are in place. If an integration is not available or not approved, the AI may prepare a request for staff review, with automatic delivery only where configured and tested.
Forge Lumina does not promise compatibility with every software platform.
Is telephone service included?
Your monthly AI subscription includes one U.S. local internet phone number and 200 AI phone minutes, including the AI voice service and call connection for those minutes. Phone answering is set up and tested before use. Extra phone usage and special connections are quoted for your approval in advance.
Phone answering included each month
Your AI subscription includes one U.S. local internet phone number and 200 AI phone minutes each month. The included minutes cover incoming calls, AI voice processing, and the audio connection needed for those calls. There is no separate usage charge for these included minutes.
Your AI uses an internet phone number to answer calls. The number and call connection come from a separate phone provider, and their cost is covered within this allowance. We set up and test phone answering before you use it. If you already have a business number, we can check whether calls can be forwarded to your AI.
Phone use is not unlimited. If you need more than 200 minutes, contact us for the additional price before using extra minutes. We will explain the charges and get your approval first. Other phone services or special connections are quoted separately.
Website chat included every month
Each AI subscription includes 200,000 website chat credits every month, starting in the first month and continuing while your subscription is active. This is in addition to your 200 AI phone minutes.
Unused chat credits roll over. If you use all your available chat credits, including any carried forward, an extra 200,000 chat credits costs $20. Email support@forgelumina.com with your selected AI and order number to request more. Chat-credit use depends on the length and number of conversations.

Setup Delay Policy
The first payment is charged at checkout and includes standard integration in the first paid month. Setup starts after we receive the required information, access and approvals. Standard setup is estimated at 3-5 business days and complex setup at 10-15 business days. We confirm any agreed launch deadline in writing.
If Forge Lumina cannot deliver the agreed setup by that deadline, you can choose a refund of the subscription payment for the undelivered service or agree with us in writing to a new deadline. If you choose a new deadline, you choose to continue rather than take a refund at that time. If we miss the new deadline, you have the same choice again.
If your information, access or approvals are late, or you request a change in scope, we agree a revised deadline in writing. We do not change your agreed deadline without telling you. This policy does not limit rights required by applicable law.
What your AI subscription includes
Your monthly subscription covers the selected Forge Lumina AI service, standard website-chat setup using the business information you provide and approve, and repairs to faults in the agreed Forge Lumina configuration. Each selected AI has its own subscription.
The first payment is charged at checkout and covers the initial standard setup and the first monthly subscription period. Monthly billing continues during setup. If we miss an agreed launch deadline, the Setup Delay Policy gives you a choice of a refund or a new deadline agreed in writing.
Your AI subscription includes 200,000 website chat credits every month, in addition to 200 AI phone minutes. Unused chat credits roll over. Extra chat credits cost $20 per 200,000 credits. Email support@forgelumina.com with your selected AI and order number to request more.
Your information and written instructions
Your AI answers using the business information you provide. If you do not give it a detail, it cannot guess the correct answer. Please give us complete, accurate information and keep it up to date.
Please send us your business information and the rules you want your agent to follow in writing. You will review and approve the setup before launch. If we build something incorrectly against those approved instructions, we fix it at no extra charge. Changes to your instructions after approval cost extra, depending on the work involved. We give you a quote for approval before making those changes.
Maintenance and changes
Repairs to faults in the agreed configuration are included. New features, new workflows and custom integrations require a separate written quote. Send changes to your business information to Support so we can confirm the work involved before proceeding. Your subscription does not include managing your entire website or unrelated business software.
Support
Email support@forgelumina.com for assistance with your service. Support is handled on business days, Monday through Friday excluding U.S. federal holidays. No guaranteed response time or weekend support is promised. Include the selected AI and a description of the issue; do not email passwords, bank details or sensitive customer records.
Optional services
Your monthly AI subscription includes one U.S. local internet phone number and 200 AI phone minutes, including the AI voice service and call connection for those minutes. Phone answering is set up and tested before use. Extra phone usage and special connections are quoted for your approval in advance.
Subscriptions are billed monthly and continue until cancelled under the applicable cancellation terms. There is no free trial or signup fee. See the Setup Delay Policy and phone allowance and extra-usage information.
Planning your AI: why we ask questions before setup
A useful AI assistant needs to understand how your business actually works. Choosing an agent is the starting point. Before implementation, we ask you and your Forge Lumina representative to complete a written questionnaire together, confirm the answers, and share them with our setup team. This is a planning conversation, not a technical examination. You do not need to know how to build an AI.
Your answers help us define what the agent should know, what it may do, where it needs human help, and what connections must be assessed. Clear information reduces avoidable misunderstandings and gives us practical examples to test. It supports a better fit for your business; it cannot guarantee perfect answers, sales, or customer satisfaction.
Like teaching a child about your business
The more accurate, relevant information and examples you share about your business, the more your AI has to work with—and the more knowledgeable and helpful it can become for your customers. Help it understand your products, services, policies, and the questions people actually ask. Think of building a well-informed member of your team: clear instructions, good examples, and current information help it give useful answers. Quality matters more than volume; outdated or conflicting information can make answers less reliable. It can still make mistakes, so review and testing remain important.
How can your AI know how many products you sell, which products you offer, and what each one costs if you do not give it that information? Provide an accurate product list with names, descriptions, available options, and current prices, or an approved connection to a system containing those details. Tell us when that information changes. Live stock levels and changing prices require a supported, configured connection to the relevant system; the agent should not guess.
Think of explaining your business to a child who is learning: you cannot expect them to know your services, prices, opening hours, or rules until you explain them. Clear explanations and examples help them understand what an appropriate answer looks like. Your AI assistant similarly needs approved information about your particular business.
The comparison has a limit: an AI already has general knowledge, but it does not automatically know your business or which information you have approved. The more accurate, relevant, well-organized information you provide, the better equipped it is to answer a wider range of questions about your business. Quality and consistency matter more than simply supplying more material.
For example, saying “we run a salon” does not tell the agent which treatments you offer, what they cost, how long they take, or your cancellation rules. Providing those details, common questions, and approved answers gives us a much clearer basis for configuring and testing it.
This is why we ask you to complete the questionnaire carefully. It helps us give the agent the right reference information and instructions. It does not mean the agent will know everything, automatically learn every future conversation, or always answer correctly. When information is missing or a question falls outside its approved scope, it should acknowledge that and direct the customer to the agreed next step rather than invent an answer. Tell us when your business information changes so we can review the necessary update.
Why is choosing an agent or giving you my website not enough?
Your website can provide useful information, but it may not explain exceptions, internal processes, appointment rules, or who should handle a difficult request. It may also contain outdated prices or hours. We need you to identify which information is current and approved.
For example, two salons may offer the same service but have different appointment lengths, staff qualifications, deposits, cancellation rules, and opening hours. Two restaurants may use different reservation systems and group-booking policies. An agent must follow the rules of the particular business it serves.
Without these details, an assistant could give an unsuitable answer or collect a request that your team cannot fulfill. We ask questions so those gaps can be addressed before customers encounter them.
What will the questionnaire ask me?
- Your business and contact person. Business name, website, locations, service areas, time zone, and the person authorized to confirm information and approve setup.
- Your goal. Which agent you want, which problem it should solve, and what a useful outcome looks like: answering routine questions, collecting complete inquiries, guiding visitors to booking, or another agreed task.
- Approved business information. Services, products, prices, hours, menus, policies, and common customer questions with the answers you want the agent to use.
- Communication channels. Website chat, email, telephone, or another requested channel; preferred language and tone; and approximate inquiry volume. Your monthly chat and phone allowances are included. Extra channels and usage charges require confirmation.
- Tasks and boundaries. What the agent may answer or do, what it must never promise, and which decisions must stay with your staff.
- Email and booking tools. The actual email host, scheduling platform, and other systems involved, together with the specific actions you want.
- Human follow-up. Who should receive requests the agent cannot handle, what information they need, and which delivery method must be configured and tested.
- Timing, budget, and testing. Your hoped-for start date, requested optional work, agreed quote, outstanding questions, and example tasks we can use to check the setup.
Answer only the sections relevant to your business. If something is unknown, mark it “To be confirmed.” A missing answer is a question to resolve, not an invitation to guess.
Why do you ask exactly what I want the agent to do?
“Handle my appointments” can mean several different things: explain your booking process, share your booking link, collect a preferred date for staff, check live availability, or create and change an appointment. These require different information, permissions, and sometimes different integrations.
Similarly, “help with email” could mean summarizing incoming inquiries, preparing drafts for approval, or sending permitted replies. We record the exact task so your expectations, the proposed configuration, and the written scope agree.
A request is not a promise that the feature is already available. Forge Lumina checks feasibility and confirms any additional work and charges before committing to it.
What do you need to know about my email?
Tell us who hosts the mailbox—for example, Google Workspace/Gmail, Microsoft 365, or another provider—and which mailbox is intended for the service. The app you open to read mail is not necessarily the host: Outlook can display mail hosted by another company, and a business-domain address alone does not identify its provider.
Explain whether the agent should read and summarize messages, draft responses for approval, or send replies under agreed rules. Tell us what kinds of messages it may handle, what it must pass to a person, and who can authorize access. Shared mailboxes and additional sending addresses need their own access review.
Providing an email address does not connect an agent to that mailbox. Supported access, the requested permissions, configuration, and testing must be confirmed separately. We do not promise compatibility with every provider or account plan, and automatic sending is not assumed by default.
What do you need to know about appointments and reservations?
Provide the booking platform’s name and your existing booking link, then explain whether you want the agent to direct customers there, collect requests, check availability, create bookings, reschedule, or cancel.
Record the services and staff involved, appointment lengths, locations, time zone, scheduling restrictions, lead times, buffers, deposits, cancellation rules, and any approvals needed. For a hotel or restaurant, include the relevant reservation and group-booking rules.
A booking link does not itself give access to the scheduling system. Direct actions require a compatible connection and authorized access. If that is unavailable, a possible alternative is to share your existing booking link or collect a request for staff, within the agreed setup.
An appointment request is not a confirmed booking. The agent should describe a booking as completed only when the connected booking system confirms success.
Why do you ask about exceptions and human assistance?
The agent needs clear boundaries for situations such as an unusual request, conflicting information, a complaint, a requested discount, or a question requiring a qualified professional. Please identify which situations your staff must handle and what the agent should say while collecting or passing on the request.
Tell us who receives these requests and how. Naming an email address or telephone number in a questionnaire does not automatically establish message delivery, a live transfer, or immediate staff availability. The agreed handoff must be configured and tested, and the agent must not promise a response time your business has not approved.
What should my contractor write down?
Your contractor should record your answers accurately, including the reason for each requested task, the relevant business rules, any unresolved questions, and any request outside the published service scope. They should include their contractor code and your order number if you have already purchased.
They should read the answers back to you or send you a written summary for confirmation. This lets you correct misunderstandings before the setup team begins. If the answers change later, the changes should also be recorded and confirmed in writing.
The contractor’s role is to understand and document your needs. Forge Lumina’s technical team assesses connections, permissions, implementation, and testing. A contractor should not promise an unsupported integration, special price, or activation date without our written confirmation.
Can I complete this in writing, and what if I do not know an answer?
Yes. You can complete the questionnaire in writing or work through it in a conversation while the contractor takes notes. You do not need a technical interview. If someone else manages your website, mailbox, or booking software, they can help identify the platform and the appropriate person to authorize access.
Do not invent an answer to finish the questionnaire. Mark it “To be confirmed,” identify who can answer it, and tell us whether it affects a requested feature. We will need the information necessary for the agreed setup before that work can proceed.
What should I avoid sending?
Do not put passwords, payment-card details, tax identifiers, patient records, or other sensitive customer records into the questionnaire or ordinary email. Use fictional or anonymized examples when explaining the conversations you want the agent to handle.
The questionnaire should identify the systems and tasks involved. If access is needed, arrange it separately through the secure setup process with the authorized business owner or administrator. Share only information needed for the agreed service.
What happens after we complete the questionnaire?
- You confirm the written answers. Your contractor sends the confirmed questionnaire and outstanding questions to Forge Lumina through portal Messages or support@forgelumina.com.
- We review the requested setup. Our team checks the information, requested integrations, access requirements, and any gaps. Optional services or work outside the agreed scope require written confirmation of scope and price.
- Authorized access is arranged where needed. Access is separate from completing the questionnaire and must be appropriate for the agreed tasks.
- The agreed configuration is prepared and tested. The confirmed answers and example scenarios provide a practical basis for checking responses, permitted actions, and human handoffs.
- Questions and later changes are recorded. If a rule, price, service, or workflow changes, contact Support so we can confirm the necessary update and whether it changes the scope.
If you purchased directly without a contractor, contact Support to arrange the same information-gathering step.
Does this affect payment or the setup timetable?
Checkout charges at purchase. Completing a questionnaire does not change the published payment terms. Setup estimates begin only after we receive the required business information, access, and approvals; submitting incomplete answers does not start that estimate.
Your preferred launch date helps us understand your plans, but it is not a guaranteed activation date. See our Setup Delay Policy and the setup estimates elsewhere in this FAQ. Included phone answering is set up and tested before use. Extra email, booking, or custom work must be confirmed in the written scope and quote before you pay for that additional service.
How do we know whether the setup meets my needs?
Choose realistic examples: a common question, a request the agent should decline or pass to staff, a booking request when no suitable slot is available, or an email that should remain a draft. State what the correct response or outcome should be for each example.
These examples turn a general request such as “make customers happy” into concrete behavior we can assess. Clear information and testing help reveal gaps, but an AI can still make mistakes. Your business should keep its information current and retain human oversight appropriate to the task.
The purpose of the questionnaire is simple: help you, your contractor, and our implementation team agree on what is needed before the agent is configured for your business.
