Meet HERA, the AI Hotel Receptionist who welcomes future guests before they arrive. HERA can help visitors discover your rooms, amenities, breakfast, parking, arrival arrangements, and reservation path at the exact moment they are deciding where to stay.
Give HERA the knowledge that makes your property unforgettable
HERA’s success depends greatly on how well she knows your hotel. Fill her memory with room details, amenities, policies, nearby attractions, seasonal information, special experiences, and the hospitality standards you want every guest to encounter. The richer and more current her knowledge, the more confidently she can help guests imagine their stay.
You choose her voice, priorities, responsibilities, and the moments when reception should take over. HERA becomes a digital extension of your property’s own character—not a generic hotel chatbot.
Turn questions into confidence and confidence into bookings
Guests often choose between properties based on one unanswered detail. HERA helps remove that uncertainty, guides visitors toward the right room and reservation route, and remains available while your staff cares for guests already on the property. She helps your hotel pursue more opportunities without sacrificing the hospitality that makes people return.
A guest begins forming an impression of a hotel before arriving at reception. They may be comparing room categories, checking breakfast arrangements, planning a late arrival, or deciding whether the location fits the trip. The details that influence that decision are often scattered across several pages. Forge Lumina AI Hotel Receptionist helps visitors explore your approved property information through a conversation, bringing the relevant details together at the point where a question arises.
Your reception team is already responsible for the guests in front of them. An assistant can support the introductory questions covered by your published information while staff concentrate on requests needing personal attention. This creates another way for prospective guests to understand the property and approach the correct reservation route. The character of your hospitality still comes from your team; the assistant helps make its practical information easier to access.
Guests often compare several properties and want reassurance about the details that matter to their stay. Parking, check-in times, breakfast, room categories, and accessibility information can influence their next step. This assistant presents the property information you approve in a conversational format, helping visitors find relevant details without searching through multiple pages. Help guests explore the property and plan their stay
The agreed configuration can support the following tasks: explain published check-in and check-out times, location details, and arrival instructions; describe room categories and property facilities using the information supplied by your team; answer approved questions about breakfast, parking, pets, and other published policies; guide prospective guests to your reservation page or collect an accommodation inquiry; direct special requests, policy exceptions, and questions requiring staff confirmation to your team.
Different guests look for different details. A business traveler may ask about arrival arrangements and workspace information; a family may want to understand room descriptions and dining arrangements. Your assistant can explain the details your property has supplied and help visitors locate the relevant pages. It should distinguish a general description from a promise about a specific stay. For example, describing an amenity does not establish that a particular room includes it, and a published service description does not confirm availability on a requested date. Clear answers help the guest know what to ask before making a reservation.
After researching a property, a guest may return to find directions, parking guidance, check-in information, or the contact route for a question about their visit. An assistant gives them a conversational way to find that public information. Your team can decide which instructions are appropriate for general website visitors and which should remain within private guest communications. This is especially useful when there are details that are easy to overlook on a long accommodation page. It does not mean the assistant recognizes the visitor as a booked guest or has access to their reservation; those capabilities require a separately confirmed connection.
What this could look like in your business
A couple is considering a weekend stay and asks about parking and breakfast. The assistant explains the property’s published arrangements and shows the agreed booking route. If they request an early check-in, it explains the stated policy and directs the request to staff without promising that a room will be ready.
Consider a family comparing properties for a weekend trip. They ask about parking, breakfast, and the differences between two room categories. The assistant can explain the arrangements and descriptions approved by the hotel, then guide them to the reservation page for the next step. If the family asks whether a particular room is available or wants an early arrival guaranteed, that request needs the relevant live connection or staff confirmation. A clear explanation helps the guest distinguish general property information from a reservation-specific answer. Reception can then discuss the family’s requirements with a better understanding of what they have already explored.
The value is in supporting the period when guests are deciding whether your property suits their plans. You can assess the service by looking at repeated pre-arrival questions, the clarity of inquiries reaching reception, and whether people find the right reservation or contact route. A useful assistant contributes to an informed guest experience; occupancy and revenue still depend on the wider offer, availability, demand, and service your hotel provides.
Prepare guests for a useful conversation with reception
Early arrivals, late departures, room preferences, pets, and group arrangements often depend on circumstances that reception must assess. The assistant can explain the published policy and guide the guest toward making a request. Where inquiry capture is part of the agreed configuration, it can ask for the basic details your team needs to continue the conversation. The response should make clear that a preference has not become a confirmed arrangement simply because it was mentioned in chat. Your property’s staff remain the source of confirmation for exceptions and stay-specific commitments that the assistant cannot verify.
The wording of the assistant can reflect the information and tone approved for your property. A boutique hotel may emphasize its particular facilities and local setting, while an inn may focus on straightforward arrival guidance and its published amenities. The content should remain concrete and accurate rather than relying on grand claims about every guest’s experience. Review the questions that matter most to your visitors and keep seasonal arrangements current. The goal is a helpful digital introduction that supports your reception team and makes it easier for a guest to proceed to the appropriate reservation or contact route.
The product supports the period between discovering a property and deciding to contact or book with it. It can also help visitors find practical information before arrival. Your reception staff can spend more of their attention on guests who need personal assistance, while the assistant handles the introductory questions covered by your approved knowledge.
Implementation and integration around your business
Bring current room descriptions, breakfast and parking details, check-in guidance, pet policies, reservation links, and contact information for special requests. Accessibility descriptions should be specific to the property. Identify who will provide updates when facilities, hours, or arrangements change.
Implementation and integration take between 3 days and 1 week, depending on the complexity of your solution. This timeframe begins once we have the information, access, and approvals needed to carry out the agreed work.
During implementation, we organize the approved information and agree how the assistant should handle the relevant customer questions. We review representative examples with your business, including requests that need staff attention. If a connected workflow is part of the agreed service, its required access, permitted actions, and completion messages need to be checked before customers use it. This gives your team a practical opportunity to confirm that the experience reflects the way you operate.
Clear scope and a practical route to your team
Live room availability, current booking rates, reservation changes, payments, refunds, and access to guest records require separately agreed connections and permissions. A booking link or inquiry does not reserve a room. Special arrangements, accessibility suitability, late departures, and upgrades remain subject to confirmation by the property. Telephone answering is included only if expressly selected and confirmed in the service scope.
The configuration is tailored to the business information and workflows agreed for your service. Before activation, the written scope should identify the selected channel, supported functions, included call minutes if voice call answering is part of the agreed service, support arrangements, and any required connections. Telephone answering and other channels are not automatically included. Information-based assistance does not itself provide access to live calendars, private records, or transaction systems.
Your business supplies and approves the information used to represent it. Questions outside that information need a clear route to your staff. AI responses can be mistaken, so review representative conversations and keep the underlying business information current.
